What is the role?
The Office Administrator is a member of the local cluster organization and supports administrational duties, office procedures and customer service tasks.
This person will be responsible for supporting first-level customer support & correspondences, order management in collaboration with our 3PL partner, returns handling, interdisciplinary correspondence with departments such as Finance/Accounting, Marketing, Commercial Excellence, Warehouse & Logistics and carrying out project-related or special tasks as needed.
The position is based in our Office in Ratingen (closed to Düsseldorf), Germany and reports solid line directly to the cluster Business Director or Office Manager.
What are the key responsibilities?
• Customer service support e.g., customer correspondence, order management
• Forwarding incoming customer orders via E-Mail to external logistics partner
• Returns handling with customers and QA dept. in Galway, Ireland
• Answering, screening, and forwarding incoming phone calls
• First-level customer support by phone and e-mail
• Serve visitors by greeting, welcoming, and directing them appropriately
• Receiving and sorting daily mail
• Perform other clerical duties such as filing, photocopying, transcribing, and faxing
• Administrative support of the sales & marketing department
• Interdisciplinary correspondence with departments such as Finance/Accounting, Marketing, Commercial Excellence, Warehouse & Logistics
• Calculation of bonuses e.g., GPOs
• Carrying out project-related or special tasks as needed
• Support and act as a stand-in for the Office & Customer Service Manager Germany or Sales and Marketing Executive during the absence
What education and experience are required?
• Fluent in English and German language
• Bachelor’s Degree (any subject)
• Ability to work cross-functions / cross-divisions in a multicultural environment - team player.
• Good interpersonal and communications skills
• Creative problem solving
• Good computer skills on office
• Bachelor’s Degree (any subject)
• Post-graduate Marketing or equivalent job experience – prior commercial support service experience a plus
• IT skills, including all Microsoft packages and a CRM platform (preferably Salesforce)
• Excellent communication skills engaging and adjusted to the audience.
What key skills will make you great at the role?
• Successfully completed commercial vocational training
• Fluent in German and good command of English (Business Level)
• min 2 years plus experience ideally within a global or multinational company, in a similar position
• Professional handling of the common MS Office programs, especially Outlook, Word, PowerPoint, and Excel
